We are seeking an Operations Analyst to join our Facilities team and support the operational aspects of invoicing, accounts receivable (AR), and collections processes. The incumbent will play a crucial role in ensuring efficient internal operations while also maintaining effective communication with clients' purchasing departments. This role will encompass responsibilities across multiple teams within the Facilities practice, requiring a meticulous attention to detail and strong organizational skills. The ideal candidate will possess a solid understanding of invoicing and AR procedures, coupled with exceptional communication abilities.

MAJOR AREAS OF RESPONSIBILITY:

  • Invoicing: Generate and process invoices accurately and in a timely manner.
  • Accounts Receivable (AR): Follow up with clients on outstanding AR, monitor payment statuses, and reconcile discrepancies.
  • Collections: Assist in collections efforts by tracking overdue payments and coordinating with clients to resolve outstanding balances.
  • Internal Operations: Support internal-facing tasks related to data checking, system access, and status updates on project progress.
  • Communication: Correspond with purchasing departments at client organizations via email to address inquiries, resolve billing discrepancies, and ensure smooth invoicing processes.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in Business Administration, Finance, Accounting, or related field.
  • At least two (2) years or more years of experience in an operational role involving invoicing, AR, or collections.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office suite (particularly Excel) and experience with database systems.
  • Excellent written and verbal communication skills.

PREFERRED QUALIFICATIONS:

  • Familiarity with invoicing and AR processes specific to the industry.
  • Prior experience working with purchasing departments or handling client correspondence.
  • Demonstrated ability to analyze data and generate actionable insights.
  • Experience with financial software or enterprise resource planning (ERP) systems.
  • Proven track record of delivering high-quality work within deadlines.
