Job Description

The PM Advisory and Execution (PMAE) function is the only enterprise level resource that supports all business units across the bank to plan, execute and govern complex cross-functional initiatives, programs, and projects. We serve as partners to drive project management discipline into high priority and strategic work efforts of the firm. The team works across organizational boundaries and moves from topic to topic while continuing to maintain and follow program management rules of governance. The PMAE is an organization consisting of over 60 project management professionals, each with robust and diverse backgrounds.

The work will vary across engagements, but generally will range from regulatory compliance to risk management, to the transformation of business processes. PMAE is not a technology-centric project management office, it's work is more focused on the integration of the technology projects and production into cross-functional business initiatives as part of a larger body of work.

This is a highly matrixed organization that operates similar to an internal consulting model (e.g. where the primary manager may not be providing daily oversight of your actions and project management skills). You will be expected to operate independently, while interacting with clients and stakeholders on a day-to-day basis. As initiatives, programs and projects close, you will then be assigned to a new body of work with new sponsors and new stakeholders, while maintaining your primary PMAE supervisory chain.

Qualifications:

  • Bachelor's Degree or equivalent experience required. Bachelor's in IT or Business highly preferred
  • Professional experience in a large corporation, preferably in a business office or similar capacity
  • Advanced MS Excel skills, including macros, pivot tables, Vlookup, etc. required
  • Technical proficiencies in MS Project, Word, and PowerPoint required
  • Ability to drive success through ambiguity, resulting from high variable levels of data complexity
  • 2-4 years' experience in successfully managing / supporting complex projects through the full project lifecycle, from conception through rollout and ongoing support.
  • At least 2 years' experience applying a structured approach (methodology) to the successful management, tracking, planning, monitoring and reporting of concurrent, multiple financial services projects spanning broad geographies and organizations.
  • Experience with enterprise program management tools.
  • Excellent analytical, influencing, facilitation, partnering, structured organizational skills.
  • Experience and ease in interfacing with Senior Management.
  • Individual should be analytical, flexible, team-oriented, have good interpersonal, communication, and follow-up skills with strong attention to detail and ability to multi-task.
  • Internal Citi experience a nice to have.
  • PMP or desire to acquire PMP a plus.
  • Must be able to work in NY/NJ or Tampa FL. No relocation available.

Responsibilities:

Act as part of the program team to support program activity, governance and reporting. Act as single point of submission for all PMs on weekly basis for submission of project plans and status reports. Master Consolidated Program Plan Maintenance:

  • On a regular basis consolidate project plans into a single BoW while maintaining data quality and ensuring compliance to PM standards
  • Review changes week over week to identify unapproved changes and ensure change control procedure was followed
  • Proactively review plan content and changes to aid in identification of risks and issues
  • Maintain program level risk/issue log; ensure timely issue identification, escalation of risks, and actionable remediation solutions; proactively review plan content and changes to aid in identification, impact analysis and mitigation of risks and issues
  • Capture minutes of key meetings/discussions
  • Maintain the program documentation including governance charts, charters, RASCI charts, communication plans, metrics and compliance repositories (e.g. PTS 2.0)

Monitoring and Reporting:

  • Facilitate the collection of status reports and aggregation into required reporting packet for consumption by senior management team and use in various committee meetings.
  • Review status reports submitted for relevancy, correctness, and provide challenge to content with the submitter to enable quality reporting.
  • Analyze documentation, data and metrics provided to identify risk, performance and quality issues and significant variances and trends and develop reports for senior management.
  • Generate Metrics reporting on a regular basis to demonstrate work effort progress against objectives.
