Position Overview: We are seeking a motivated and tech-savvy student worker to collaborate with the CCIT (College of Computer & Information Technology) Dean's office in developing and implementing a streamlined document sharing system for the CCIT Mentorship Program. The selected candidate will work closely with the Dean and relevant stakeholders to establish an efficient process using OneDrive, enhancing the accessibility and organization of program-related documents.

Responsibilities:

  • Collaborate with the CCIT Dean and mentorship program coordinators to understand the current document sharing workflow and identify pain points and opportunities for improvement.
  • Design a comprehensive folder structure on OneDrive to categorize and store various types of mentorship program documents, such as guidelines, resources, schedules, and participant information.
  • Assist in the migration of existing documents to the new OneDrive system, ensuring proper organization and access control settings.
  • Develop a user-friendly naming convention for files and folders to facilitate easy retrieval and maintenance.
  • Implement security measures to ensure the confidentiality and integrity of sensitive program-related information stored on OneDrive.
  • Create a detailed guide or training materials for mentors, mentees, and program administrators on how to navigate and use the new document sharing system effectively.
  • Provide technical support to program participants who might encounter issues while using the system.
  • Regularly update and maintain the document sharing system, addressing any changes or adjustments required by the program's evolving needs.
  • Collaborate with the CCIT IT team to troubleshoot technical issues and optimize the system's performance.
  • Stay informed about updates and new features within OneDrive to suggest and implement enhancements that could benefit the program.

Qualifications:

  • Current enrollment as a student within the CCIT or related field.
  • Familiarity with Microsoft OneDrive and its features, including file organization, sharing permissions, and collaboration tools.
  • Strong organizational skills and attention to detail to create an intuitive and effective folder structure.
  • Excellent communication skills to liaise with the CCIT Dean, program coordinators, and participants to gather requirements and provide assistance.
  • Ability to work independently and efficiently manage time and tasks.
  • Basic understanding of data security and privacy measures when handling sensitive documents.
  • Problem-solving attitude to troubleshoot issues and find innovative solutions.
  • Prior experience in document management, cloud storage systems, or IT support is a plus.
